A practical checklist for study application documents

A simple structure for collecting, naming, translating, and reviewing different versions of your application documents.

Keep originals and translations separate

Every document should have a clear type, version, issue date, and translation status. Do not overwrite the original scan with a translation or edited copy.

A consistent file-naming pattern reduces the chance of uploading the wrong document. Include the document type, applicant name, language, and version number when practical.

  • Valid identity documents and passport
  • Academic certificates and transcripts
  • Language test results when required
  • CV and relevant work history
  • Statement of purpose, references, and portfolio when required by the program

Track validity and deadlines

Some documents and test scores expire. Record expiry dates next to application deadlines so a document that is valid at submission does not become unusable later in the process.
